SharePoint Marketing Portal for a Luxury Brand

How we centralised a luxury brand's strategy and product launches in a SharePoint Online and SPFx marketing portal used by more than 5,000 people.

A SharePoint marketing portal is a single point of access, built inside Microsoft 365, where a distributed team finds strategy, launch plans and documentation always in the correct version. For an international luxury brand we built one with SharePoint Online and SPFx: it is now used by more than 5,000 people and has handled the document lifecycle of 86 product launches.

The brand operates globally across jewellery, watchmaking and fragrances, with dozens of markets and a continuous product calendar. Its marketing team produced high-quality strategic documentation — launch briefs, positioning plans, packages for local markets — but that material lived scattered across shared folders, emails and re-sent presentations. We built a single point of access without opening any new platform to approve, with the same care for user experience as a SharePoint intranet in the luxury sector.

The problem: strategic information scattered on a global scale

Marketing material has to reach the right person, at the right time, in a way they can act on. Before the project it lived everywhere: finding the up-to-date launch brief for a collection took time, and working out which version of a document was final meant asking colleagues.

The result was a real slowdown in marketing workflows and the concrete risk of people acting on old or incomplete information. The brief was clear: a single point of access for strategies, launch plans and documentation, visually worthy of the brand’s identity and simple enough for people unfamiliar with corporate information systems.

The solution: inside SharePoint, not outside

The first design decision was also the most important. The seemingly obvious route — a dedicated web application with a fully custom interface — in an international enterprise has to pass a security approval process that can take months and add hard-to-predict costs.

We chose a different path: build the portal as a custom web part with the SharePoint Framework (SPFx), so it lives inside the already-approved Microsoft 365 ecosystem overseen by IT. Technically the web part simulates the experience of a Single Page Application — fluid navigation, a responsive interface, complex application logic — without onboarding a new external platform. The security constraint turned into an architectural advantage: faster go-live, contained costs, integration into an environment users already know. It is the same reasoning that makes digital asset management on SharePoint more sustainable than a standalone system.

The design was built to respect the brand’s aesthetic: a polished layout, product imagery front and centre, intuitive navigation. Meeting high visual expectations within SharePoint’s technical constraints was one of the toughest challenges — change requests arrived mid-project, and handling them without going out of scope required precise scope governance and continuous communication with the client.

Content management with Power Apps

The second architectural element is about who publishes content, and how. In a traditional SharePoint portal, updating information means working with lists and libraries: not intuitive for a non-technical profile. And the portal’s administrators are marketing people, not IT.

We built a canvas Power App as the management interface: a dedicated panel to upload new campaigns, update launch plans and publish document packages through a guided interface, without ever touching SharePoint’s underlying structures. The technical complexity stays hidden: content managers see a clean panel, portal users see a quality editorial experience, and IT does not field support requests for every update — the same principle behind governed brand management in the luxury sector, applied to marketing.

The results

The portal is now used by more than 5,000 users across the organisation and, since it went live, has handled the document lifecycle of 86 product launches.

It means thousands of people, spread across different markets, find in one place the information they need to work in line with the brand’s global marketing strategy. The document-dispersion problem — briefs not found, wrong versions in circulation, colleagues asked for directions — has been solved structurally, not with a temporary fix.
