How we turned a luxury brand's Brand Identity from PowerPoint into a SharePoint portal with an AI agent, consultable by 6,000 employees and external partners.

An AI agent on SharePoint is an assistant that answers employees’ questions in natural language, drawing only on the indexed corporate documents — no external sources, no interpretation. For an international luxury brand we applied it to the Brand Identity: from a PowerPoint deck to a consultable SharePoint portal, now live for 6,000 employees and their external partners.

The brand manages its brand identity with a level of precision that mirrors its positioning: every communicative nuance counts, every visual rule has a reason. With 6,000 employees spread across the world — boutiques, corporate offices, production, partner agencies — it needed a tool equal to that complexity, built on the same stack as the SharePoint marketing portal we delivered for the same client.

The problem: brand guidelines in a format that did not scale

For years the Brand Identity lived in a PowerPoint deck: visual guidelines, tone of voice, material-usage rules, heritage, instructions for every touchpoint. A format that had worked while the organisation was smaller and geographically concentrated.

As it grew, the structural limits surfaced. Finding a specific rule meant scrolling through dozens of slides with no search. Every change meant redistributing the file to the whole organisation. There was no way to ask questions about the content or navigate by topic. And sharing the guidelines with creative agencies or external consultants meant sending a file with no control over who accessed it. The brief was clear: drop the PowerPoint for a platform that made the Brand Identity accessible, searchable and protected — for internal staff and external partners alike.

The solution: a portal that answers, not just displays

We built the portal on SharePoint Online with SPFx customisation — the same architectural choice as the Marketing Hub project for the same client: stay inside the already-approved Microsoft 365 ecosystem, avoid onboarding external platforms, contain long-term costs.

The AI agent on the Brand Identity

The portal integrates an OpenAI-based AI agent that employees query in natural language: “What tone of voice should I use for an Instagram post?”, “What are the logo rules on packaging?”, “How does the positioning translate for the watches category?”. The agent answers by drawing exclusively on the material in the platform, with precise, contextual responses, instead of forcing the user to navigate sections and subsections.

The toughest technical challenge was grounding the agent: answers had to be precise, anchored to the official material, free of interpretation or generalisation — the same rigour with which we calibrate an AI agent on Copilot Studio or a RAG chatbot in Teams. To achieve it we worked on the knowledge base structure, the quality of the indexed content and the calibration of responses. The agent lives inside the Microsoft perimeter: calls to the model go through Azure API Management, without exposing corporate data to consumer services.

Secure sharing with external partners

The second distinctive element answers a very common practical problem: how do you share the guidelines with creative agencies, partners and consultants while guaranteeing that only those who have formally accepted the confidentiality terms can access them?

We developed a guided NDA acceptance flow built into the portal. The invited external user reaches a dedicated screen, views the agreement text, accepts it in a tracked way — and only then gets access to the shared materials. No email attachments, no open links: a structured process that produces a verifiable acceptance trail.

The results

The portal is now live for the organisation’s 6,000 employees. The Brand Identity is no longer a document to dig out of an email archive, but a platform you query, explore and share in a controlled way. Teams in boutiques and offices around the world access the guidelines with the same ease as any other Microsoft 365 application. In a luxury brand, where every communicative detail counts, an assistant that answers consistently with the brand is an operational safeguard on communication quality, not a technological gadget.
